Who we are
Other Shapes builds AI agents and automation for foundations, trusts and funds. For the purposes of UK data protection law we are the data controller for the personal data described here.
What we collect
Information you give us. When you submit an enquiry, subscribe to the newsletter, download a playbook or complete the ops grader, we collect what you type into those forms. That typically means your name, email address, organisation, and whatever you tell us about your operation.
Information collected automatically. If you consent to analytics, we collect anonymous page views and page loading performance. This is aggregated and is not used to identify you.
We do not collect special category data, and we do not ask for payment card details through this website.
Why we use it
- To reply to your enquiry and provide services you asked for.
- To send the newsletter and resources you signed up to receive. Every email includes an unsubscribe link.
- To produce your ops grader report and send it to you.
- To understand which pages are useful and which are slow, where you have consented to analytics.
Our lawful bases are consent (for marketing emails and analytics) and legitimate interests (for responding to enquiries and running our business).
Cookies and analytics
Essential cookies keep the site working, for example remembering your theme and your cookie choice. These are always on because the site cannot function without them.
Analytics are provided by Vercel Web Analytics and Speed Insights. They do not set advertising cookies and do not track you across other websites. They only load if you accept analytics, and you can change your mind at any time using the Cookie Preferences link in the footer.
Who we share it with
We use a small number of processors to run our business, and share only what each needs:
- Vercel for website hosting and, with your consent, analytics.
- Resend and Loops for sending email and running the newsletter.
- Notion for storing enquiries and grader submissions so we can follow up.
- Anthropic and OpenAI where an agent we build for you processes your content.
We never sell your personal data and never share it for third-party advertising. Some of these providers process data outside the UK; where that happens it is covered by appropriate safeguards such as standard contractual clauses.
How long we keep it
We keep enquiry and grader records for as long as needed to follow up and meet our legal obligations, and we review them periodically. Newsletter subscriptions are kept until you unsubscribe.
Your rights
Under UK GDPR you have the right to access the personal data we hold about you, to have it corrected or deleted, to object to or restrict how we use it, and to receive it in a portable format. Where we rely on consent, you can withdraw it at any time. Email hey@other-shapes.com and we will respond within one month.
If you are unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk.
Changes
If we change this policy we will update the date at the top of this page.
